Royals Insurance's site was rebuilt from the ground up around one promise, a licensed producer calls you back, with the agency's five intake forms brought in-house and wired to a document pipeline.

The engagement

Royals Insurance & Capital Group is a Florida independent agency placing business and personal lines and advising on capital, led by its founder with a partner producer. Its site linked out to five hosted CRM forms and said little about how the firm actually works. This staged rebuild, on a Euphemios subdomain pending the founder's review, presents the practice areas, the story and the team in a restrained editorial register built on the agency's own lion crest, and replaces the external forms with native intakes that collect documents and land every submission where the producers work.

The challenge

The intake question sets had to stay word for word what the agency's CRM already asked, so nothing downstream broke, while gaining a documents step, validation and a premium acknowledgement. Uploads had to clear a hosting body limit without ever sitting in a public bucket. Each submission had to create a client folder named exactly after the legal entity, hold the files plus a readable summary and a machine-readable record tagged for the CRM, log to a spreadsheet, thank the client with a booking link and alert the producers, all under a staging account with nothing addressed to the agency's own mailboxes until sign-off.

The approach

The five question sets are generated from the captured CRM forms into typed content with a drift gate, so a reworded question fails the build. Documents upload directly from the browser to transient blob storage, hand off to a Google Apps Script backend that files them into Drive, writes an Intake summary document and a tagged intake.json, appends a row per line of business plus a delivery log, sends a branded acknowledgement with a booking button and a plain alert that carries no answer values, then deletes the blobs. The backend's secret is paired once from the server and never typed into a browser. The gate covers lint, types, unit tests, content and link checks, HTML size, a render pass at three viewports, the empty-submit negative case and a fake-backend happy path, and runs three ways in CI. Live proof came from submitting every form on the deployed site and checking Drive, the Sheet and the inbox.

Scope of work

  • Editorial site: home, insurance, capital, story, team, contact, intake hub and legal pages on clean URLs with redirects from the old paths
  • Brand system from the agency's own crest: traced mark, wordmark, lockups, email and social artwork, Bodoni Moda with Hanken Grotesk
  • Five intake forms generated verbatim from the CRM question sets, plus an inquiry form, each with a documents step
  • Document pipeline: browser-to-blob upload, Apps Script backend, Drive folder per legal entity, summary Doc, tagged JSON, Sheet tabs, delivery log, daily digest
  • Branded acknowledgement email with a booking link and a producer alert with no client data in the body
  • Executable gate run three ways in CI, Vercel deployment on the Euphemios team, Cloudflare DNS-only subdomain
  • Handover runbook for moving the backend under the agency's Google account and cutting over the production domain

What we delivered

  • The rebuilt site staged at royalsinsurance.euphemios.com, verified at 1440, 390 and 360 pixels on the deployed URL
  • Native intake forms with document upload, proven end to end with a real submission per form: folder, files, summary, spreadsheet row, acknowledgement and alert
  • A backend operator script for pairing, setup, diagnostics, test cleanup and the digest, with the secret held only in a local file and the hosting environment
  • A five-minute demo script for the founder and a step-by-step handover for the move to the agency's own account and domain
  • Open Graph artwork, icons and metadata derived from the agency's mark

The result

    Every one of the agency's intake questions is preserved word for word and now collected on its own site, with documents attached, instead of on a third-party form.

    Each submission arrives as a ready client file: a folder named for the legal entity, the uploaded documents, a summary document and a CRM-ready record, plus a spreadsheet row and an inbox alert.

  3. 03

    The rebuild ships behind an executable gate, so a reworded question, a broken link, an oversize page or a form that accepts an empty submit fails the build before it can reach the site.

    The whole pipeline runs under a staging account with nothing addressed to the agency until the founder signs off, and moves to the agency's account by changing configuration, not code.
